A Belgian financial regulator relies on its support teams to help ensure fair treatment of financial consumers and proper conduct across the financial sector. As a Management Assistant, you will support a multidisciplinary department of lawyers and economists, using MS Office, OneNote, and SharePoint to manage correspondence, documents, case files, and meetings.
The mission
The department contributes to supervision of financial institutions, financial products, financial service providers, and supplementary pensions. Its work combines legal and economic analysis, which requires accurate document handling, reliable administrative follow-up, and clear communication with internal and external contacts. The assistant team supports the department’s daily operations and helps ensure that information reaches the right people at the right time.
You will act as the main administrative contact for the department and provide day-to-day support to its legal and economic specialists. Your scope will include finalising letters, reports, and notes, registering and distributing correspondence, maintaining files, handling telephone calls, and organising internal and external meetings, including occasional travel arrangements. You will also follow up on open administrative actions and keep stakeholders informed in Dutch and French.
Your responsibilities
- Coordinate incoming and outgoing correspondence, including registration, distribution, follow-up, and filing.
- Finalise letters, reports, notes, and other documents by checking their accuracy, consistency, and presentation.
- Maintain complete and up-to-date case files and administrative records in line with departmental requirements.
- Organise internal and external meetings, prepare the practical arrangements, and coordinate occasional business travel.
- Handle telephone calls and daily requests professionally, directing them to the appropriate contact when needed.
- Support lawyers and economists with administrative follow-up and prioritise competing requests independently.
Your profile
Essential skills
- Bring at least 5 years of experience as a Management Assistant or Team Assistant in a legal environment.
- Hold a bachelor’s degree in Office Management or an equivalent qualification.
- Use MS Office confidently, including Outlook, Word, and Excel, for document preparation, communication, and administrative tracking.
- Work effectively with OneNote and structured document and information management processes.
- Communicate professionally and respectfully with colleagues and external contacts.
- Organise your work independently, set priorities, and maintain accuracy when managing several requests at the same time.
Preferred skills
- Experience using SharePoint for document management, collaboration, or file administration.
Languages
- Dutch: C1, professional written and spoken proficiency.
- French: C1, professional written and spoken proficiency.
- English: B1, practical working knowledge.
Education
- Bachelor’s degree in Office Management or equivalent professional experience and qualification.
